Payment Window        

 

Payment will normally be recorded at the time of the booking or purchase, particularly with Casual clients however you may also record a payment by clicking on the booking in the appropriate Facility Window or via this window.

 

This window is particularly useful if the client is making a payment for several bookings or purchase at once.

1 . Client CategoryClient Category


When the window opens, or after completing one payment, chose whether the payment is for a Member or Non-Member Booking/Purchase.

 

Immediately after selecting either option will populate the Client Selection dropdown box below.

 

2 . Client SelectionClient Selection


After chose from the above Client Category, this box is populated with the appropriate category of clients.

 

You may start typing the Last Name of the client in this box and the dropdown will expand showing all the clients on record with the corresponding Last Name. You may stop typing once a unique client's details appears in this box.

 

Alternatively, clicking the dropdown icon will allow you to chose from the list of clients that have outstanding amounts owing.

 

Note that if your client has no outstandings then they will not be included in the selection list.

3 . OutstandingsOutstandings


Once you have selected the appropriate client from the above selector, this window will be populated with all the outstanding sales for that client.

 

You may then tick the box for each sale that your client wishes to make a payment.

 

NOTE:

The list can be considered as complete for a member however it may not show all the outstanding sales for a casual client. This is because casual clients can have differing spelling of their listing details including contact numbers.

 

In this case, the same client may have more than one booking or sale recorded in the Client Selection above and accordingly you may have to record differing payments received for each booking or sale.

4 . Total OutstandingTotal Outstanding


The total amount outstanding for all sales and bookings for the client will be shown here.

5 . Total PaymentTotal Payment


As you select each sale or booking for payment in the above box, this amount will reflect the total amount required to satisfy those sales/bookings.

6 . CancelCancel


Click this button to cancel your actions to date and close this window.

7 . Amount PaidAmount Paid


Enter in this box the amount of money tendered by the client in payment of the selected sales / bookings.

 

You may not enter an amount in excess of the Total Payment amount above as MyCourts has no provision for maintaining credit accounts.

 

If an amount is entered for less than the Total Payment due then MyCourts will allocate the amount paid today in full payment of the oldest outstanding sale with any remaining balance being allocated to partially pay the most recent outstanding sale.

8 . Payment MethodPayment Method


Choose the method of today's payment.

9 . Record PaymentRecord Payment


Once you are satisfied that all is in order, click here to process the payment.

 

If successful, the window will be redrawn allowing you to accept further payments.

 

If there are any problems with recording the payment, you will be advised via a popup window.
